Spectra Behaviour Solutions (“we”, “us”, or “our”) is committed to protecting the privacy and confidentiality of personal information. “Personal information” is defined as any information or opinion about an identified individual or an individual who is reasonably identifiable. We will collect personal information in the course of providing individualised applied behaviour analysis (ABA) services to children and young people with autism and related communication disorders. This Privacy Policy (“Policy”) outlines how we collect, use, disclose, and protect personal information about you and/or your child (“Clients”) as per the Privacy Act 1988 and the Australian Privacy Principles. 

       1.  Collection of Personal Information

We may collect personal information directly from Clients, behaviour therapists, educators or other health professionals involved in the care of the Client. We will not solicit personal information from relevant third parties (such as educators) without the Client’s informed consent. Personal information we collect may include, but is not limited to:

  • Name, date of birth, home address and email address

  • Medical and therapeutic history, diagnosis and treatment

  • Behaviour data collected during our assessments and therapy sessions

  • Information that warrants mandatory reporting

Personal information may be collected through face-to-face or remote communication, email, Jotform, the contact form on our website, and our proprietary behaviour-data webportal. We will not collect photos or videos of the Client without their signed written statement.

       2.  Use of Personal Information

We will adhere to strict confidentiality obligations and only solicit personal information necessary for providing support as outlined in our Service Agreement. The uses may include:

  • Assessing Client’s preferences, strengths and barriers

  • Developing intervention plans in collaboration with key stakeholders

  • Monitoring progress and adjusting interventions

  • Recommending behaviour management strategies and providing resources to stakeholders

  • Maintaining accurate records and documentation inline with laws and regulations
    3.  Data Security

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure. Personal information will be stored in digital form wherever reasonable, or kept in a secure area on our premises. Personal information will be restricted to authorised personnelles, encrypted, and stored on trusted servers. Periodically, personal information held by us will be moved to cloud storage for secure long-term storage in accordance with The Health Records and Information Privacy Act 2002. We will not disclose personal information to relevant third parties unless the Client has given informed consent, or if it is required by law or in medical emergencies. We will regularly review and update our security practices to mitigate risks.

       4.  Access and Correct Personal Information

Clients may request access or make corrections to the personal information we hold, if they believe it is inaccurate, out-of-date, incomplete, irrelevant or misleading. Access to the personal information and any corrections made will be free of cost, and completed in reasonable time from the date of request.

       5.  Complaints

If a Client believes we have breached their privacy rights or has concerns about our handling of their personal information, they may lodge a complaint to the contact below. We will investigate complaints promptly and respond inline with our obligations under the Privacy Act 1988.

       6.  Updates

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. The most current version of the policy can be obtained on our website.
